ChatGPT vs Copilot vs Claude: Which Should Your Business Use?

By Ceri Davies · 22 October 2026 · The AI Training Co™

It's the question I get asked more than any other. "Which one should we be using?" And the honest answer is a bit annoying: it depends where your team already spends its day.

So here's the plain-English version, from someone who uses all three every week and trains teams on them.

The short answer

If your business lives in Microsoft 365, start with Copilot. If you want a strong all-rounder that most people have already heard of, go for ChatGPT. If a lot of your work is writing, long documents or thinking things through properly, have a look at Claude. And loads of teams end up using two of them, which is completely fine.

Microsoft Copilot

Copilot's big win is that it's already sitting inside the tools your team uses all day. Word, Excel, Outlook, Teams. It can summarise a meeting you missed, draft a reply to that email chain, or pull together a first draft from documents you've already got. When your team signs in with their work account, it sits within your Microsoft 365 setup, which makes the data conversation a lot easier.

The catch? People open it, don't know what to ask, get a so-so answer and give up. Copilot is only as good as the person using it. I've written more about that in Is Microsoft Copilot worth it?

ChatGPT

ChatGPT is the one everyone's heard of, and for good reason. It's a brilliant all-rounder. Writing, brainstorming, research, images, voice, and you can build your own custom assistants for jobs you do over and over.

The thing to watch is which account your team is using. A personal account on someone's phone isn't the same as a business plan, especially when it comes to what happens to the information you type in. More on that in is it safe to use ChatGPT at work?

Claude

Claude is the one I use most day to day, so I'll be upfront about that. It's really good with long documents, it writes in a way that sounds more like a person, and it's careful when you ask it to reason through something tricky. Projects let you keep all the context for a client or a piece of work in one place, so you're not explaining yourself from scratch every time.

It's less of a household name than ChatGPT, so you might find fewer people on your team have tried it. That's easily fixed with a bit of training.

What about Gemini?

If your business runs on Google Workspace, Gemini is built into Gmail, Docs and Sheets, and the same logic as Copilot applies. Use the one that lives where you already work.

The bit that matters more than the tool

I'll be honest with you. The tools leapfrog each other every few months. Whatever is "best" today might not be next spring. What doesn't go out of date is your team knowing how to ask good questions, check what comes back, and keep sensitive information out of the wrong places. Those skills work in every tool.

The best AI tool for your business is the one your team actually knows how to use. Pick one, get people trained, then add a second if there's a real need.

Quick answers

Is Copilot better than ChatGPT for business?

If your business already runs on Microsoft 365, Copilot is usually the better fit because it works inside Word, Excel, Outlook and Teams. ChatGPT is a stronger all-rounder if you're not tied to Microsoft.

Can a business use more than one AI tool?

Yes, and plenty do. A common setup is Copilot for day-to-day Microsoft work plus ChatGPT or Claude for writing and thinking things through. Just make sure each one is on a business plan and covered by your AI policy.

Is the free version of ChatGPT OK for business use?

It's fine for trying things out, but for real work with company information you're better on a business plan, which gives you more control over how your data is used.
